Implementation of New CastleBranch Accounts

Reason for the New Accounts

  • The CastleBranch Administrator portal response time is very slow. CastleBranch consultants have stated that this is because we have multiple programs in a single account. They recommended that there is one account for each program and campus.
  • Running reports is also difficult because multiple programs are combined into a single account. The classification codes are not always helpful in narrowing down to the specific program/campus that we are looking for. Having separate accounts for each program and campus will help to limit the number of students in each account so that reports are more relevant to the program.

How to log into the new accounts
You should've received 2 emails with login information. One with your username (which will start with ZU08) and one with your password. The emails will have come from [email protected] with the subject "Welcome to CastleBranch" and "Getting Started with CastleBranch". After you login for the first time, you'll be asked to update your profile and select some security questions. If you did not receive these emails, please email [email protected] for help.
Use this set of credentials to view the new accounts. Use your old AZ03 login and password to view students in the old accounts.
An easy way to view both accounts is to open CastleBranch in one browser (for example Chrome) and login with your AZ03 login. Then open an entirely different browser (like Firefox) and login with your ZU08 login.
Details of the Transition
Fall 2023 and Prior Students and Faculty

  • Students who started in Fall 2023 or prior should still use the CastleBranch accounts that they have already created. See CastleBranch Overview For Students (Fall 2023 and Prior Students) for more information.
  • Faculty who started in Fall 2023 or prior, should still use their current CastleBranch accounts. 
  • CastleBranch Administrators need to use their AZ03 login to view those records and run reports.

Frequently Asked Questions

  • How do students place an order?

    • Go to https://discover.castlebranch.com/

    • Click "Place Order" at the top

    • Enter in the package code which should be the new account code for Spring 2024 and future students. (The package code is the same as the account code for students ordering a background check and also to complete their clinical compliance requirements)

  • How long will we need to use two different logins?

    • This will depend on the program. Once all of the students in your program in the AZ03 accounts graduate, then there is no longer a need to use the AZ03 login to view those records. You may then only need the ZU08 login. The timing that this happens will depend on the length of each program.

  • What if a student changes campuses but is still in the same program?

    • If they are in the AZ03 accounts, no change is needed.

  • What if a student is moving from ELM to a post-licensure program?

    • The student will need to contact CastleBranch to ask them to move their CastleBranch account to the new account for their post-licensure program. If they are starting in Spring 2024, then they need to be moved to the new accounts.

    • CastleBranch does not guarantee the transfer of the items during moves. Those that move from sponsor to sponsor (AZ03 accounts to ZU08 accounts) will always be prompted to resubmit. The students can retrieve their previously submitted documents in their account under the "my documents" section and the folder corresponding to their previous tracker's name. They can use those items to resubmit directly from their account as needed.

  • What if a student uses the wrong account number?

    • Ask the student to contact CastleBranch to transfer their account to the correct account number.

  • How can I help a student who is switching accounts?

    • If students are switching between accounts, some documents may not transfer over. Students can use the "my documents" section of their account when re-submitting the items, as a copy of anything submitted to CastleBranch would also be stored there. That way they don't need to upload those documents again. They can use the documents already in "my documents" to resubmit to the requirements in the new account. 

  • What classification should we use?

    • For the new accounts, no need to select a classification for individual programs. By using the different account codes to sign up, students will be placed in the account for their program. When administrator run reports, you only need to run it for the account that is associated with the program and you should only see students in that program. There can be other uses for classifications. For more info, please contact [email protected].
