Program Administrator Guide for TAMS

This article is for program administrators (chair, director, and staff) who manage the sections and faculty assignments in TAMS:

 

Important 'Do Not' Reminders :

  • Do not edit within the Course Catalog, Admin Assignment, or Administration sections.
  • Do not edit your workload or other full-time faculty assignments. All full-time workload edits should be submitted by the supervisor to [email protected].
  • Do not edit Summer or Fall 2024 assignments. We are only working in Spring 2025
  • Do not make changes to Admin Assignments for adjunct faculty. If you have a non-course assignment for an adjunct faculty, please email [email protected] so that we can help you with those assignments. 

Workgroups

Workgroups is TAMS's terminology for our departments. The following link shows who is assigned in each workgroup. If you are assigned a workgroup, you will have access to view/edit/assign sections. Review the list for accuracy.

Updating Sections for Spring 2025

Please remember: Make sure that it says "AY 2024-2025" at the top left hand corner. It's now possible to switch between academic years, so make sure that you are working in the 2024-2025 academic year.

Fall 2024 Adjunct Assignments:

  • Please avoid making changes to the Fall 2024 sections.

  • If you are adding any new adjunct assignments into TAMS, please email [email protected] so that we know to generate a contract.

Spring 2025 Sections

  • Please review all of the sections for your program. We need at least one representative from each program to make sure that the section information is correct. See Workgroups and Teaching Assignment Access to designate who that person will be.  

  • Current sections were copied over from the prior year and do not match what is in PeopleSoft. We need your help to update these sections as Operations is not familiar with the academic offerings. If you need help updating sections, please contact us ([email protected]).

  • Create any sections that are needed. You can go to Course Offerings, search for the course, and then click on Clone to create a new section. 

  • Then edit the section, change the Term Mode to Spring 2025.

  • Please especially make sure that fields like Campus, Program, and Section Number are correct. We use these fields when generating adjunct contracts.

  • Please delete any sections that you are not offering. 

  • Please be careful to make sure you are making changes to the correct section. It can be really easy to make changes to a section for a different program/Workgroup as some courses are shared between programs. 

  • If you do not see a course in Course Offering, please email [email protected] and let us know so we can add it to TAMS.

Switching Between Academic Periods

  • If you need to work in a different academic period (for instance 23-24), here's a video on how to switch between academic periods. 

Adding Adjunct Assignments

  • Video: How to assign a faculty member to a section.

  • Click on Section Assignments, search for the course by entering the course number and select Spring 2025 for the Academic Term drop down.

  • On the section that you want to make the assignment, click on the magnifying glass. This should allow you to search for the faculty member that you want to assign. Click on their name, and then click Create Assignment.

  • If you cannot find the faculty that you want to assign (for example a new hire), please email [email protected].

Why can't I find a faculty in TAMS?

  • The faculty's name could've been overwritten. Please email [email protected]u so we can take a look.
  • The faculty is no longer active. Please email [email protected] and we can research and inform you the reason why this might be.
  • The faculty's record has 0 for effort quota, please [email protected] so that we can adjust this value appropriately. 

What are the codes in Section Number?

You may have noticed that in Section Number, there is a "-" followed by 2 letters. These letters represent the campus for that section. If you're creating or editing sections, please use only the 2 letter codes below. 

  • AZ: Azusa
  • IE: IERC
  • HD: High Desert
  • MO: Monrovia
  • OL: Online
  • SD: San Diego

The final section number will look like this: 

UNRS 414P.U016A-HD
