First Teaching Assignment and Contract
The following is the process for newly hired adjunct employees receiving their first teaching assignment.
- The Department Chair and Associate Dean identified the first teaching assignment during the interview phase. (Previous Step 3a)
- SON Ops Team enters the assignment in TAMS
- SON Ops Team Generates Contract
- SON Ops Team Routes the Contract for Signatures
- Dean Signs Contract in HelloSign
- Adjunct Faculty Signs Contract in HelloSign
- Business Office Receives Completed Contract (2-3 Days usually. 5 days during peak season)
- Applicant receives a pay rate email with access to Kronos
Once the Business Office processes the contract, the adjunct can log into Kronos to record hours worked. See article Timekeeping
General Teaching Assignments & Contracts
The following is the process for how all adjunct employees receive teaching assignments.
- Each Adjunct Faculty has access to TAMS
- Adjunct identifies teaching preferences (Only available in June)
- Department Director and Chair Requests Teaching Assignment in TAMS
- Associate Dean Approves Teaching Assignment in TAMS
- SON Ops Team Generates Contract
- SON Ops Team Routes the Contract for Signatures
- Dean Signs Contract in HelloSign
- Adjunct Faculty Signs Contract in HelloSign
- Business Office Receives Completed Contract (2-3 Days usually. 5 days during peak season)
- Applicant receives a pay rate email with access to Kronos
Key Parts of the Adjunct Contract
The following information is an important part of the contract and timekeeping process. Please ensure they are accurate and you know where to find the information. Please do not sign your contract and email [email protected] and your Department Chair if there is an issue.
- HR REF ID/Contract # - Each contract has this unique identifier located on the top right of your contract.
- Department - This is your home department. This is usually the first department that you taught for and is used by HR.
- Campus - This is the location of the course(s) that is/are listed on this contract.
- Highest Degree - This is the highest degree that we have on record for you which is used to calculate the Hourly Rate. (See How to Update Faculty Degree for instructions on how to update your highest degree.)
- Course - This is the course that you are assigned to teach.
- Units - The number of units for the course.
- Budget Number - The budget number tells the business office where the expenses go. The budget number is based on the course and campus for the contract. The department this course belongs to is designated by the budget number.
- Appointment Date - Access to Kronos will begin and end on the listed date. All hours worked should be recorded in alignment with the appointment dates as shown on their contract.
- Hourly Rate - is based upon the type of assignment and then based on the highest degree you have attained. Note: Some assignments will not increase with a doctorate/terminal degree. See SON Adjunct Hourly Pay Rates. (If you believe this rate is incorrect, please do not sign the contract. If it is an incorrect rate due to an outdated highest degree, please see How to Update Faculty Degree for instructions on how to update your highest degree. Otherwise, please email [email protected] with the HR REF ID/Contract # and the reason why it is incorrect.)

Multiple Contracts
You may receive multiple contracts for several reasons.
- If you have multiple assignments for different departments or on different campuses, this may require a different budget code. Each contract can only use 1 budget code. Therefore, multiple contracts are required.
- If you teach for in different capacities, you may need multiple contracts. For example, if you're teaching didactic and clinical courses, you will receive multiple contracts because the didactic and clinical rates are different.
- Since different departments add assignments at different times and contracts are issued on an ongoing basis, new contracts may be required for additional assignments.
