I cannot log hours in Kronos

This article helps hourly (non-exempt) APU employees like adjunct faculty or staff when they cannot access their electronic time card through Kronos. This article helps with the following scenarios:

  1. The dates of work are no longer accessible in your Kronos time card. The period to enter those hours in Kronos has closed. Read: Timekeeping Change Request Form (THRC) SON v2
  2. The employee would like to submit hours for the current pay period but does not have access to their electronic time card in Kronos. Read: Timekeeping Change Request Form (THRC) SON v2

I am an adjunct, and I don't have access to Kronos, why?

  • Adjunct faculty must have an active contract, and it must be processed by timekeeping. If you signed your contract, more than 5 business days ago, please email [email protected] and reference the contract ID#. The HR Ref ID/Contract # can be found on the top right of your signed contract in red. Please verify that both the Dean’s signature and your signature are on the contract. 
  • If you were an Adjunct in the previous semester and you had access and now do not, this can be due to your adjunct contract for the semester becoming expired. Each semester, after signing your contract, the business office and HR must process the information and enter it into their systems. Your access to Kronos is dependent on your current contract as it dictates the specifics of your payroll and timekeeping in contrast to other adjuncts.
    • If, for example, you taught a course in the fall as an adjunct and are now going to teach a different course in the spring, you will need a new contract for that spring course
    • During this time in-between semesters, you may lose access to Kronos as your new contract is being processed by the business office. (The business office may take 5 days to complete these steps [it may take HR an extra day or two to process your contract depending on the workload for that semester]. After your contract is processed, you should receive an email from Timekeeping when you have access for Spring. You may even receive an email that explains how to enter multiple rate codes.)
